World of Color were contacted by this busy local agency to provide a more effective route to print and document distribution electronically. The client also required a cost effective route to occasional colour highlighted print.
The company at this time used a collection of slow ink jet printers and 8 pages per minute laser printers, none of which offered duplex print. The timesheets were faxed to the administration department on an older fax machine and this was taking around 3 hours to complete and then further work clarifying hours and names due to the problems associated with fax transmission and small point print.
After consultation the following cost savings were made through implementing a Canon iR3170Ci multifunctional photocopier, specifically the savings were as follows:
- Time sheets are no longer faxed, instead the direct scan system on the Canon enables these timesheets to be scanned as a PDF direct to head office, and a job that took 3 hours now only takes 5 minutes. Further savings are made as there is no longer any issue with clarity and the cost of scanning and sending is now nil.
- Additionally candidate details and important documentation is no longer copied, instead the paperwork is now scanned direct to folders and users desktops to reduce further the cost of print.
- Print speeds are at 31 copies per minute, replacing the expensive to run and slower laser printers whilst the route to colour print was via the multifunctional device with 50% savings on cost of print over the ink jet machines.
- Introducing the Canon also allowed for a saving of around 30% on paper cost by introducing a rule that duplex print was to be used for all reports and contracts.
